Assist Your Coach

Privacy Policy

Last updated 26 September 2026

Assist Your Coach is a tool clubs use to analyse matches: clipping video, tagging moments, drawing up tactics, planning sessions and keeping scouting notes. Doing that means holding details about coaches, staff and players. This page says exactly what we hold, why we hold it, who can see it, how long it stays, and how to get it removed.

It is written to be read, not to be survived. If anything here is unclear, ask us and we will answer plainly.

1. Who is responsible for your data

Assist Your Coach operates this service and decides how the data described here is handled. You can reach us at info@assistyourcoach.com about anything on this page.

To be completed before this policy is published: the registered business name, postal address and, where one exists, the company registration number of the operator. Data protection law requires the person responsible to be identifiable, and “Assist Your Coach” alone does not identify anyone you could write to.

2. Two different kinds of people appear in this service

The distinction matters, because it changes who decides what:

If you are a player, a parent or a guardian and want to know what a club holds about you, ask the club first — it is their record. If that gets you nowhere, write to us and we will help.

3. What we collect, and why

Your account

WhatWhy
UsernameIdentifies you, and everything you create is filed under it.
Email addressSigning in, password-related messages, and notifying you about your registration. It can be used in place of your username to sign in, so it is treated as a credential and no two accounts may share one.
PasswordHeld only as a scrypt hash. We cannot read it, and nobody at Assist Your Coach can tell you what it is.
Club, team, season, role and member typeDecides what you can open. Club membership is a permission: it is what lets you see your club's tactics, clips and reports rather than somebody else's.
Trial and suspension datesA trial account carries a date after which it stops working. An account can also be suspended without being deleted.
Date the account was createdSupport and administration.
Where a new club found usWhen you set up a new club, one word from the link you arrived on — for example instagram, if a post's link said so — or direct if it said nothing. It is kept with the club so we can tell which posts bring clubs in. It is read from the link when you register; nothing is stored in your browser to do it, and nothing else about your visit is recorded.

Registration requests

When you ask to join a club that already exists, your request — username, email address, hashed password, the name you gave, the club you named and what you said your role is — is held separately until that club's administrator approves or rejects it. A pending request is not an account and cannot be signed into. If it is rejected, nothing signable was ever created.

Signing in with Google

Covered in full in section 5, because it deserves its own section.

Records of your sign-ins

We record your username and the time each time you sign in. It is used to see whether an account is still in use and to investigate problems and suspicious access. We do not build a picture of where you go inside the app.

What you and your club create

Whatever your club chooses to put in. In practice that means:

Video and images

Video you upload is stored on our server, as are player photographs. Where a coach links a YouTube video instead, we store the link — the video itself stays on YouTube, and see section 7 for what that means.

The contact form

The name, email address and message you send, so we can reply. The message is emailed to us and the sending address is recorded in our server log so we can deal with abuse of the form.

Error reports

When a screen breaks, the browser sends us the error message, the technical stack trace, the page address, which screen it happened on, and your username if you were signed in. It goes to our own server log and nowhere else — no third-party error-tracking service is involved.

How often the public pages are used

The front page, the sport pages and the pricing page keep count of four things: that a page was opened, that “Start your free month” was pressed, that the tour was opened, and that the registration form was reached. Each is kept as a single number per day, alongside which of those pages it was and the one word a campaign link names (for example instagram). Nothing else is kept: no cookie is set, your address is not stored, and a count is never tied to an account or to another count — so there is no way to tell who did anything, or to follow one visit through the site. It stays in our own database; no analytics service is involved.

4. What we do not do

5. Signing in with Google

Using Google is optional. You can register and sign in with a username and password and never involve Google at all.

If you do choose it, here is precisely what happens.

What we ask Google for

Only the basic sign-in scopes: openid, email and profile. That is your Google account identifier, your email address, whether Google has verified that address, and your name.

What we do not ask for, and cannot reach

We request no access to Gmail, Google Drive, Calendar, Contacts, Photos or any other Google service, and we hold no token that would let us call one. Signing in with Google gives this service no ability to read anything in your Google account.

What we keep

Connecting Google does not overwrite the email address already on your account. Using a personal Google account with a work address is perfectly ordinary, and the stored address is itself a credential, so we leave it as it is.

What Google learns

That you signed in to Assist Your Coach. What Google then does with that is governed by Google's privacy policy, not this one.

Turning it off

Open My Profile and press Disconnect Google. If Google is currently the only way into your account, set a password on that same screen first — otherwise disconnecting would lock you out permanently, so we refuse it.

6. What is stored in your browser

We use no cookies for tracking or advertising. Two items are kept in your browser's local storage:

Both stay on your device and are cleared when you sign out. Clearing your browser's site data removes them and signs you out.

7. Who else is involved

WhoWhat they handleWhen
Our hosting provider Runs the servers and holds the database and uploaded files Always
Our email provider Delivers contact enquiries and registration notifications When a message is sent
Google Verifies who you are Only if you choose to sign in with Google
YouTube (Google) Serves the video and receives your IP address and its own cookies, as it would on any site with an embedded video Only when you play a video a coach linked from YouTube

Beyond those, data leaves us only where the law requires it — for example a valid order from a court or regulator.

8. Who can see what, inside the service

9. How long we keep it

10. How it is protected

No system is perfectly secure, and we will not pretend otherwise. If you believe an account has been compromised, tell us at once.

11. Children and young players

Squad lists routinely include players under 18, along with dates of birth, photographs and coaching notes about them.

That information is entered by the club, and the club is responsible for having the consent or other lawful basis needed to record it — typically from a parent or guardian, under its own safeguarding and data-protection policies. Assist Your Coach does not collect it from children directly and does not offer accounts to them independently of a club.

A parent or guardian who wants a young player's details corrected or removed should ask the club, which can do it immediately. If the club does not act, write to us at info@assistyourcoach.com and we will.

12. Your rights

You can ask us to:

Write to info@assistyourcoach.com. We will respond within one month. We may need to confirm who you are first — we are not going to hand somebody's squad records to whoever asks for them.

If you are in the European Union or the United Kingdom and you think we have handled your data badly, you may complain to your national data protection authority.

To be completed before this policy is published: the supervisory authority for the country the operator is established in, with a link. For an operator established in Malta that is the Office of the Information and Data Protection Commissioner.

13. Changes to this policy

If we change how data is handled, we will update this page and change the date at the top. Where a change materially affects you, we will say so by email rather than leaving you to notice.
